Job Description
Build your career at DeSilva Gates Construction, where teamwork and operational excellence drive our complex heavy civil engineering projects forward. We are seeking a proactive Project Administrator in our Dublin office to support our project teams, coordinate vital documentation, and ensure daily office operations run smoothly. In this role, you will be essential to our success by organizing information, communicating with key partners, and contributing to the completion of vital infrastructure projects. Responsibilities Responsibilities will include but not be limited to:
Administrative Support:
Support project team personnel with general clerical duties, ensuring office functions run smoothly. Assist with assembling documents, copying, mailing, etc. Manage inventory and place orders for office supplies and food & beverage as needed. Reserve meeting rooms and coordinate travel accommodations as needed. Contribute to the success and functionality of the office by being flexible and willing to assist where needed. Perform other tasks as assigned. Document Management & Communication Maintain various logs using electronic systems as well as local files. Correspond with clients, subcontractors, and vendors regarding submittals, RFIs (Request for Information), and other relevant contract documents. Track and upload safety documents. Manage document control and file maintenance, ensuring organization of project-related documents. Project Coordination Coordinate subcontractor insurance renewals. Report upcoming weather forecast to project team and crews. Requirements Qualifications Two years in an administrative role, preferably in the construction industry. Proficient in computer programs, such as Microsoft Office, specifically Excel and Word. Ability to learn new programs if needed. Able to balance routine tasks and one-off projects. Strong verbal and written communication skills. Able to communicate with internal and external personnel of all levels. Who Are We Looking For? Able to work in team and independent settings. Additional Requirements Required to pass pre-employment drug and alcohol screening.
