Job Description

Gold Coast Pain and Wellness is an interventional pain medicine practice on the Central Coast, opening our second location in Templeton this August. We're looking for someone who is proactive, maintains patient confidentiality, communicates with empathy while enforcing office policies, and can anticipate the needs of the provider and clinical team. You're the first person our patients see and the last one they talk to before they leave. In a pain practice, that matters more than usual — most of our patients are hurting, some have been bounced between providers for years, and a friendly, competent front desk changes their whole experience. What you'll do Check patients in and out, verify demographics and insurance, and collect copays and balances Answer and route a high volume of phone calls, take accurate messages, and follow through on callbacks Scan and index insurance cards, referrals, imaging reports, and records into the correct patient chart Schedule and confirm appointments across two locations, and manage the recall and no-show lists Process payments, reconcile the daily deposit, and keep the front desk balanced Coordinate with clinical staff so the schedule and the exam rooms stay in sync Handle records requests, forms, and incoming faxes What we're looking for Front desk experience in a medical office (specialty practice a plus) Warm, upbeat presence — you set the tone for the whole visit Genuinely good at multitasking: phone ringing, patient at the window, provider needing something, all at once Steady under pressure and able to de-escalate a frustrated patient with patience rather than defensiveness Comfortable explaining our scope of practice clearly and kindly, including when the answer isn't what someone hoped for Accurate with money, insurance details, and chart documentation eClinicalWorks experience strongly preferred Bilingual English/Spanish a plus Reliable transportation and willingness to cover both Pismo Beach and Templeton This position requires managing a busy front desk in a pain management practice where patients may be experiencing chronic pain, frustration, or opioid dependence. Describe a time you had to stay calm, organized, and professional while juggling multiple priorities in a fast-paced environment. What was the situation, how did you handle it, and what was the outcome?
