Job Description

Titan Utilities Inc is seeking a reliable and detail-oriented Office Assistant to join our team. The Office Assistant supports daily office operations with a strong emphasis on collecting, verifying, and processing employee time cards and payroll data. This role bridges the gap between field workers and the accounting department, ensuring accurate job costing and timely payroll processing. The responsibilities of this position include, but are not limited to: Coordinate and maintain office operations, including managing incoming and outgoing correspondence, emails, and phone calls. Assist in the preparation and coordination of company meetings, events, and conferences. Maintain office supply inventory, anticipate needs, and place orders when necessary. Organize and maintain physical and electronic files, ensuring proper documentation and confidentiality Assist with human resources functions, such as maintaining employee records, processing paperwork, and coordinating new hire onboarding. Manage and distribute company-wide communications, memos, and announcements Greet and assist visitors, clients, and vendors, ensuring a professional and welcoming environment. Coordinate with external vendors and service providers for office maintenance, repairs, and supplies. Perform general clerical duties, including photocopying, scanning, filing, and data entry. Maintain confidentiality and handle sensitive information with integrity and professionalism Review timecards for accuracy, matching hours worked against project codes, certified payroll requirements, meal breaks, and overtime rules. Contact crew foremen or project managers immediately to fix missing punches, incorrect project coding, or unapproved overtime. Input verified hours into the company's timekeeping software. Collaborate with other administrative staff to ensure efficient office operations

Qualifications and Requirements:

High school diploma or equivalent Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Strong attention to detail and accuracy in handling information and documents Excellent communication and interpersonal skills, both written and verbal Ability to maintain confidentiality and exercise discretion Professional and friendly demeanor, with the ability to work well in a team environment Must be able to sit and stand for long periods of time Must be able to life 25 lbs Must be able to look at computer screens for extended periods of time Monday

Pay:

$18.50

•$20.00 per hour Expected hours: 18.0

•24.0 per week
