This is an excellent opportunity for an administrative professional who enjoys supporting a busy department, managing confidential information, coordinating with multiple stakeholders, and helping ensure day-to-day operations run smoothly. The ideal candidate will be proactive, dependable, customer-service oriented, and comfortable working with parents, district departments, and internal staff. Key Responsibilities Provide administrative support to the Director of Nutrition Services and Distribution and the broader department. Scan, organize, and fax meal applications and related documentation. Assist with processing meal applications and communicate directly with parents regarding applications, requirements, and next steps. Coordinate equipment repair requests with the IT Department and assist with closing out related work orders within the district's ticketing system. Assist with scheduling interviews, meetings, reservations, and other appointments using Outlook. Support occasional event coordination, including office lunches, BBQs, large meetings, and other department events. Assist with the preparation and production of monthly reports and department documents; training will be provided. Create, update, and maintain documents using Google Docs and other administrative tools. Serve as a liaison between employees and Human Resources regarding medical claims, doctor's notes, and other confidential documentation. Assist with reconciling employee absence reports and maintaining accurate records. Support the monthly timecard processing process; training will be provided. Perform general administrative duties, including document management, data entry, filing, correspondence, and other projects as assigned. Qualifications Previous administrative or office support experience required. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent communication and customer service skills, with the ability to work professionally with parents, employees, district staff, and other stakeholders. Comfortable handling confidential and sensitive information with discretion. Proficiency with Microsoft Outlook and Google Docs. Experience with document processing, scheduling, data entry, and general office administration. Ability to learn new systems and processes, including ticketing systems and timekeeping platforms. Strong attention to detail, follow-through, and problem-solving skills. Previous experience in a school district, public sector, education, or similarly structured organization is a plus.
