We provide individualized education that integrates academics, transition services, vocational training, life skills, social-emotional learning, and community-based experiences. The Position Futures School is seeking a highly organized, welcoming, and dependable Administrative Assistant to support the daily operations of the school. Reporting to the Chief Administrator and working closely with the Director of Education and school leadership, this position serves as a central point of contact for students, families, staff, school districts, vendors, and community partners. The ideal candidate is proactive, detail-oriented, comfortable managing multiple priorities, and committed to maintaining accurate and confidential information. Key Responsibilities Administrative & Leadership Support Manage calendars, appointments, meetings, conferences, and school events. Prepare correspondence, reports, agendas, presentations, and meeting materials. Attend designated meetings, document action items, and assist with follow-up. Support newsletters, employee orientation, compliance activities, and special projects. Front Office & School Operations Maintain a welcoming and professional front office. Greet visitors and respond to telephone, email, and routine inquiries. Coordinate visitor, student, and staff check-in/check-out procedures. Maintain the school calendar and communicate schedule changes. Monitor supplies, process orders, receive deliveries, and coordinate office needs. Student Records & Compliance Maintain accurate student attendance and assist with family follow-up. Enter and maintain student and school data. Organize confidential electronic and paper student records. Prepare documentation for annual reviews, parent conferences, and other meetings. Support documentation required by school districts, state agencies, and Futures School. Identify missing or incomplete documentation and notify the appropriate supervisor. Staff & Community Support Track faculty and staff absences and assist with coverage communications. Support field trips, community activities, family programs, graduation, and school events. Prepare and distribute approved communications to families, staff, districts, and community partners. Purchasing & Financial Support Prepare approved purchase requests and supply orders. Maintain purchasing, invoice, expense, and reimbursement records. Assist with expense reports and information needed for budget monitoring. Communicate with vendors regarding orders, deliveries, and invoices. Qualifications Required Bachelor's degree from an accredited college or university. Strong organizational, communication, customer-service, and time-management skills. Excellent attention to detail and recordkeeping abilities. Ability to manage multiple priorities and meet deadlines. Sound judgment and ability to maintain strict confidentiality. Ability to work independently while knowing when to seek supervisory guidance. Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, Forms, and shared calendars. Preferred Two or more years of administrative, school office, student services, or related experience. Experience in a school, special education, human-services, nonprofit, or regulated environment. Experience with student records, attendance, scheduling, purchasing, or compliance documentation. Experience working with adolescents, young adults, or individuals with disabilities. The successful candidate will understand that strong administrative systems help educators focus on what matters most-student success. Schedule, Compensation & Benefits This is a full-time, non-exempt position following the Futures School calendar (220 workdays), including Extended School Year. Regular hours are Monday-Friday, 8:00 a.m.-4:00 p.m.
Compensation:
$25.00-$28.00 per hour, based on relevant education and experience. Eligible employees have access to medical, dental, and vision insurance; Flexible Spending Accounts; a 403(b) retirement plan with employer match up to 6% after one year; five paid sick days; and nine paid holidays.
