We install fiber, telecommunications, and utility infrastructure beneath roadways, sidewalks, and developed land using trenchless drilling methods that minimize surface disruption. As a growing contractor serving fiber and telecom providers across Southwest Florida, we pride ourselves on safe, code-compliant, and efficient underground construction. We are seeking a dependable, detail-oriented Administrative Assistant to support our office operations and keep our day-to-day administrative, billing, field-support, and compliance functions running smoothly. Position Summary The Administrative Assistant supports the Office Manager with bookkeeping, billing and field documentation review, utility locate coordination, project setup in our field job app, production tracking, and general office administration. This role keeps our financial records organized, verifies that field billing and photos are complete and accurate before submission, ensures our underground work is properly ticketed with the state's one-call system, and provides reliable day-to-day administrative support across the office. Key Responsibilities Receipts & Documentation — Collect, organize, and track receipts, invoices, and expense documentation from field crews and management; maintain accurate digital and physical records. Billing & Field Documentation Review — Review billing and field crew photos, production entries, and supporting documentation for accuracy and completeness before submitting to billing; follow up with crews on any missing or unclear items. Bank Reconciliation — Reconcile bank and credit card transactions, match receipts to charges, and help keep accounting records current and accurate. Project Setup in Field App — Help set up and configure projects and jobs in the company's field job app so crews have the information they need to work in the field; keep job details, locations, and assignments up to date. Production & Task Tracking — Monitor production, task completion, and job progress in the field app; track outstanding items and follow up with crews and management to keep jobs on schedule. 811 / Utility Locate Tickets — Call in and manage Sunshine 811 locate tickets for upcoming and active drilling jobs; track ticket status, renewals, and responses to ensure work proceeds safely and in compliance with Florida Chapter 556. Office Support — Assist the Office Manager with scheduling, correspondence, filing, data entry, and other administrative tasks as needed. General Administration — Answer and route phone calls, communicate professionally with clients, vendors, and crews, and help maintain an organized, efficient office environment. Required Qualifications Fully bilingual in English and Spanish (verbal and written) — required. Proficient with computers and comfortable learning new software, including mobile field/job-management apps. General working knowledge of office productivity suites (Microsoft Office and/or Google Workspace — Word/Docs, Excel/Sheets, Outlook/Gmail). Strong attention to detail and organizational skills. Reliable, punctual, and able to manage multiple tasks in a fast-paced environment. Professional communication skills with clients, vendors, and team members. Preferred Qualifications Experience with Xero or other accounting/bookkeeping software (a strong plus). Prior experience in an administrative, bookkeeping, or office support role. Familiarity with the construction, utility, or contracting industry. Experience with 811 / one-call locate systems. Experience with field job-management or crew-tracking software.
