Position Summary We are seeking a highly organized, dependable, and professional Administrative Assistant to provide administrative and operational support to our Corporate Headquarters team. The Administrative Assistant will play an important role in supporting the day-to-day operations of our Corporate Headquarters. This individual will assist with a variety of administrative, organizational, and coordination responsibilities while helping ensure that projects, communications, meetings, and other business activities are handled efficiently and professionally. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment. This position requires strong communication skills, sound judgment, discretion, and a willingness to take initiative. Essential Responsibilities Responsibilities may include, but are not limited to: Provide administrative support to the executive assistant as well as members of the Corporate Headquarters and leadership team. Assist with managing calendars, scheduling meetings, coordinating appointments, and meeting preparation. Prepare, organize, and maintain documents, reports, presentations, spreadsheets, and other business materials. Assist with internal communications and correspondence. Coordinate travel arrangements, meetings, events, and other company activities as needed. Maintain organized electronic and physical filing systems and ensure information is accurate and accessible. Track action items, deadlines, projects, and follow-up items. Assist with data entry, reporting, recordkeeping, and other administrative processes. Answer and direct phone calls, emails, and other inquiries in a professional and timely manner. Coordinate with employees, managers, vendors, and other business partners as needed. Assist with special projects and company initiatives. Handle confidential and sensitive information with professionalism and discretion. Help identify opportunities to improve administrative processes, organization, and efficiency. Perform other duties and provide additional support as assigned. Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Previous experience in an administrative assistant, executive assistant, office coordinator, or similar support role preferred. Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Strong attention to detail and ability to follow through on assignments. Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Comfortable learning and utilizing new technology and software. Ability to work independently while also collaborating effectively with employees at all levels of the organization. Strong problem-solving skills and the ability to exercise good judgment. Professional demeanor and ability to handle confidential information appropriately.
