Management Position Summary We are looking for a dependable, organized, and detail-oriented Administrative Assistant to support our management and office operations. This position is responsible for keeping administrative tasks organized and up to date, assisting management with day-to-day needs, communicating with employees and applicants, and helping ensure the office runs smoothly. This is a support position and is not a management position . The ideal candidate is someone who takes initiative, stays organized, communicates well, follows through on assignments, and is comfortable handling a variety of administrative tasks throughout the day. Responsibilities Assist management with day-to-day administrative tasks and projects Maintain and update employee and scheduling records Assist with schedule upkeep , including updating schedules and communicating schedule changes Collect, review, organize, and submit employee payroll hours Communicate with current employees regarding scheduling, paperwork, and other administrative matters Communicate with applicants through the company's hiring/recruiting software Assist with the hiring process from initial applicant communication through onboarding Coordinate and complete new-hire paperwork and ensure required documents are received Maintain organized employee files and documentation Copy, scan, print, file, and organize paperwork Check, organize, and respond to office emails as directed Answer and direct incoming phone calls Take messages and ensure calls or requests are routed to the appropriate person Maintain uniform inventory , including tracking items issued to employees and available inventory Help maintain office supplies and notify management when supplies need to be ordered Keep the office and common work areas clean, organized, and presentable Maintain organized records, forms, reports, and other company documentation Assist with preparing documents, spreadsheets, lists, and reports Enter and update information in company systems Assist management with employee documentation and administrative follow-up Help track paperwork that is outstanding or needs to be completed Organize incoming and outgoing documents Assist with filing and maintaining confidential employee and company records Help prepare materials for meetings, training, and other company activities Assist with onboarding materials and employee information Perform general administrative and clerical duties as assigned Take on other office-related tasks and projects as needed to support management and the company What We're Looking For The ideal candidate should be: Someone who is able to deal with stress well Dependable and have a strong work ethic Highly organized and able to keep track of multiple tasks Detail-oriented and careful with paperwork and data entry A good communicator, both verbally and in writing Comfortable communicating with employees, applicants, management, and the public Able to work independently while also being a strong team player Able to prioritize tasks and meet deadlines Comfortable learning and using computer programs and company software Professional and courteous when handling phone calls, emails, and employee communication Able to maintain confidentiality when handling employee and company information Willing to jump in and help wherever needed Someone who notices what needs to be done rather than waiting to be told about every task Qualifications Previous administrative, office, clerical, or customer service experience preferred Strong computer and organizational skills Good written and verbal communication skills Basic knowledge of Microsoft Office/Google Workspace or similar programs Ability to learn new software and systems quickly Ability to handle confidential information appropriately Previous experience with scheduling, payroll timekeeping, recruiting, or employee paperwork is a plus, but not required A Good Fit for This Position This position is a good fit for someone who enjoys keeping things organized, helping others, and making sure the little details don't fall through the cracks.
