This position plays an important role in creating a positive client experience while providing day-to-day administrative support to our advisors and office staff. The ideal candidate is dependable, personable, comfortable speaking with clients, and able to manage multiple responsibilities in a professional office environment. Experience in financial services, insurance, or retirement planning is helpful, but not required. We are willing to train the right person who demonstrates strong communication skills, attention to detail, professionalism, and a willingness to learn. We will provide solid training and support at the beginning. As you become comfortable with our systems and procedures, we strongly encourage you to take ownership of your responsibilities. We are looking for someone who is proactive, resourceful, and capable of using good judgment to solve problems independently. Our ideal candidate does not simply wait to be told what to do. We value someone who stays organized, anticipates what needs to be done, follows through on assignments, looks for solutions, and takes pride in helping the office operate smoothly. Because we work closely with retirees and families making important financial decisions, professionalism, confidentiality, patience, and exceptional client service are essential. Duties Answer, screen, and direct incoming phone calls in a professional and friendly manner Greet clients and visitors and help create a welcoming office environment Schedule, confirm, and coordinate client appointments Make outbound calls to clients and prospects regarding appointments, paperwork, follow-ups, and office communications Assist advisors with preparation for client meetings Scan, upload, organize, and maintain client documents within company systems Perform data entry and maintain accurate client records Assist with new-client paperwork and administrative processing Follow up with clients regarding requested documents, signatures, and outstanding information Prepare correspondence, letters, forms, and other office documents Handle incoming and outgoing emails and other correspondence Maintain organized electronic and physical filing systems Assist with seminar, workshop, and client-event preparation when needed Maintain office supplies and help keep common areas organized and professional Utilize Microsoft Office programs including Outlook, Word, and Excel Communicate with clients, financial institutions, insurance companies, and other professional organizations as directed Protect confidential client and company information at all times Support advisors and other staff members with general administrative responsibilities Complete additional clerical and administrative duties as assigned Qualifications Previous administrative assistant, receptionist, office, or customer-service experience preferred Financial services, insurance, banking, or professional-office experience is a plus, but not required Strong verbal and written communication skills Professional and pleasant telephone etiquette Friendly, confident, and comfortable communicating with clients Excellent organizational skills and strong attention to detail Ability to manage multiple responsibilities and prioritize tasks effectively Strong follow-through and ability to complete assignments without constant supervision Self-motivated with strong problem-solving skills Comfortable taking initiative and looking for solutions independently Proficiency with Microsoft Outlook, Word, and Excel Comfortable learning new computer programs, CRM systems, and office technology Dependable and punctual with a strong work ethic Positive attitude and willingness to learn Professional appearance and demeanor Ability to work effectively both independently and as part of a team Ability to handle sensitive and confidential client information discreetly Experience working with older adults or retirees is helpful High school diploma or equivalent required; additional education or administrative training is a plus What We Are Looking For We are looking for someone who wants to become an important part of our organization rather than simply fill an administrative position. Pay:
$15.00 - $25.00 per hour Expected hours: 15.0 - 40.0 per week
