Job Overview We are seeking a highly organized and proactive Office Administrator/Personal Assistant to support our daily operations. This role involves managing administrative tasks, providing personal assistance, and ensuring smooth office functioning. The ideal candidate will have experience in personal assistance and proficiency with QuickBooks to handle financial record-keeping and related responsibilities. This is a paid position suitable for individuals who excel in multitasking, communication, and maintaining confidentiality. Responsibilities Provide comprehensive personal assistance to ensure the smooth day-to-day operations of the office and executive needs Manage schedules, appointments, and calendar coordination for executives or team members Handle correspondence, phone calls, and email communications professionally and efficiently Maintain organized filing systems, both physical and digital Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record management Prepare reports, presentations, and other documentation as required Coordinate meetings, events, and travel arrangements as needed Support general administrative duties such as ordering supplies, managing office inventory, and maintaining office equipment Ensure confidentiality of sensitive information at all times Qualifications Proven experience as an Office Administrator or Personal Assistant Strong proficiency in QuickBooks for financial management tasks Excellent organizational and time-management skills with the ability to prioritize tasks effectively Exceptional communication skills, both written and verbal Ability to handle multiple responsibilities with attention to detail Discretion and professionalism in managing confidential information Proficiency in standard office software such as Microsoft Office Suite or Google Workspace Positive attitude with a proactive approach to problem-solving We welcome motivated candidates who are eager to contribute to our efficient office environment.
