This role serves as a key point of contact for internal staff, clients, subcontractors, vendors, and business partners while helping ensure the efficient operation of the executive office. The ideal candidate will have exceptional organizational skills, excellent communication abilities, and the capacity to manage multiple priorities in a fast-paced construction environment. Key Responsibilities Manage the President's calendar, appointments, meetings, and travel arrangements. Screen and direct phone calls, emails, and correspondence. Prepare reports, presentations, meeting agendas, and professional communications. Coordinate meetings with clients, vendors, subcontractors, and company leadership. Maintain confidential business and personnel information with discretion. Assist with project documentation, contracts, proposals, and bid packages. Track deadlines and ensure timely completion of administrative tasks. Organize and maintain physical and digital filing systems. Support special projects and company initiatives as assigned. Coordinate company events, executive meetings, and office activities. Handle incoming visitors and provide a professional first impression of the company. Assist with expense reporting, invoice approvals, and other administrative processes. Qualifications Required High school diploma or equivalent. 3+ years of administrative or executive assistant experience. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills. Strong organizational and time-management abilities. Ability to handle confidential information with professionalism. Experience managing multiple priorities with minimal supervision. Preferred Associate's or Bachelor's degree in Business Administration or a related field. Experience in the construction, engineering, or contracting industry. Familiarity with project management software, construction documentation, and contract administration. Experience supporting C-level executives or company owners.
