David Boland, Inc., a general contractor based on the Space Coast of Florida, has over 50 years of proven success in constructing Federal Government projects nationwide. Our team delivers complex federal construction projects across aviation and aerospace, manufacturing, healthcare, and education, ranging from $10M to $75M, all in support of our country. We are seeking an Administrative Assistant to support our Project Management team in Titusville, Florida . As an Administrative Assistant, you will be responsible for: Preparing, reviewing, distributing, and maintaining project correspondence, documentation, electronic records, and filing systems in accordance with company procedures. Assisting with the preparation, execution, tracking, and administration of subcontract agreements, purchase orders, change orders, contract modifications, budget revisions, and related project logs. Performing data entry in the company and Government-required project management software. Reviewing, auditing, and maintaining certified payroll documentation to ensure compliance with Davis-Bacon Act requirements, including communicating with subcontractors and suppliers to resolve issues. Following up with subcontractors and suppliers on required documentation such as insurance certificates, executed change orders, payment applications, etc., and reviewing and logging of such. Preparing meeting agendas and minutes. Providing administrative support to construction managers and other operations personnel, including coordinating business travel and lodging. Providing backup support to other administrative staff as needed. Monitoring supply inventory and ordering replenishments. Ensuring electronic files and hard files are maintained in accordance with company protocol. Assisting with special projects and performing additional administrative duties as assigned. The successful candidate must be organized, self-motivated, detail-oriented, and demonstrate strong proficiency in Microsoft Word, Outlook, and Excel. 3+ years of relevant administrative experience are required, and prior experience in the construction industry is a plus but not required.
