Job Description
Job Summary We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role involves providing administrative support, managing client and internal communications, and ensuring the smooth functioning of daily office activities. Experience with various productivity software are highly valued to enhance team productivity and client interactions. Duties Answering multi-line phone systems with professionalism and courtesy Perform data entry, maintain accurate filing systems, and update spreadsheets using Microsoft Office, Google Workspace, and other productivity software Manage calendars and coordinate recipient and volunteer interactions Prepare documents, reports, and correspondence through word processing and proofreading to ensure accuracy with attention to detail Assist with bookkeeping tasks such as invoicing and expense tracking using QuickBooks or similar accounting software Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client communication efforts Support office management tasks including organizing files, maintaining office supplies, and ensuring efficient workflow Maintain confidentiality of sensitive information while demonstrating strong organizational skills Requirements Proven experience in an administrative or clerical role with proficiency in office management tools such as Microsoft Office (Word, Excel), Google Workspace, and spreadsheets Strong computer skills including data entry, typing speed, proofreading, and familiarity with productivity software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Ability to learn and follow systems in place Ability to communicate with Executive Director daily for instruction, communication and follow-up with work updates Exceptional communication skills both verbal and written; phone etiquette is essential Bilingual abilities are a plus for client communication and team collaboration Experience with multi-line phone systems, calendar management, bookkeeping, and front desk operations preferred Demonstrated ability to handle confidential information discreetly with high attention to detail Prior experience in customer support is advantageous Strong time management skills with the ability to multitask efficiently in a professional setting Monday-Friday 8am to 2pm (Schedule can be discussed if more hours desired) Salary negotiable based upon experience Education required: High School Diploma Associates Degree preferred
