We are seeking a professional, dependable, and organized Administrative Assistant/Front Desk Coordinator to manage the daily front-desk responsibilities of our behavioral health practice. This person will be the first point of contact for clients, potential clients, referral sources, and visitors. The ideal candidate must have excellent customer-service and communication skills, be comfortable using office technology, and be able to manage multiple responsibilities independently. Responsibilities Manage daily front-desk operations. Greet clients and visitors professionally. Answer telephone calls and respond to emails. Monitor voicemail and return calls within one business day. Schedule, confirm, cancel, and reschedule client appointments. Communicate scheduling changes to clients and therapists. Respond to potential-client questions regarding available services. Collect demographic, insurance, referral, and scheduling information. Schedule new clients with the appropriate therapist. Send and track intake paperwork, consent forms, and practice policies. Follow up with clients regarding missing paperwork. Work with office biller to verify insurance eligibility and behavioral health benefits. Document copayments, coinsurance, deductibles, and authorization requirements. Collect copayments, self-pay fees, and outstanding balances. Follow up with clients regarding missed appointments. Maintain accurate electronic health records and administrative files. Scan, upload, organize, and securely store documents. Prepare forms, letters, spreadsheets, and administrative reports. Maintain referral, appointment, and payment tracking systems. Assist with office organization and supply monitoring. Support staff meetings, onboarding, trainings, and special projects. Assist with workshops, support groups, health fairs, and community events. Protect confidential information and follow HIPAA requirements. Complete additional administrative duties as assigned. Qualifications High school diploma or equivalent required. At least one year of administrative, front-desk, office, or customer-service experience preferred. Excellent written and verbal communication skills. Professional telephone and email etiquette. Strong organization and time-management skills. Ability to work independently and meet deadlines. Basic knowledge of Microsoft Office, Google Workspace, and email. Ability to learn electronic health record and scheduling systems. Ability to maintain confidentiality and follow HIPAA requirements. Reliable transportation and telephone service. Availability to work Monday through Friday. Willingness to assist with occasional evening, weekend, or community events. Ability to complete required background checks. Previous experience in a mental health, medical, substance-use, or healthcare office is preferred but not required. Compensation and Contract Terms Pay is $13.00 per hour . Approximately 25 hours of services are available each week . Additional hours must receive advance approval. This is a part-time independent-contractor position.
