Job Description
Description We are looking for a detail-oriented Administrative Assistant to support daily office operations for a hotel-based team in Honolulu, Hawaii. This is a Contract position suited for someone who can manage front-desk coordination, maintain accurate records, and provide responsive administrative support in a fast-paced environment. The ideal candidate is organized, detail oriented, and comfortable handling communication, scheduling, and general office tasks with accuracy and discretion. Responsibilities:
- Manage incoming phone calls and direct inquiries to the appropriate team members in a courteous and efficient manner.
- Coordinate calendars, arrange appointments, and help keep schedules organized for staff and department activities.
- Perform a range of administrative support tasks to ensure smooth day-to-day office operations.
- Enter, update, and maintain information in internal records and databases with a strong focus on accuracy.
- Welcome visitors and assist with front-desk coverage while providing courteous receptionist support.
- Prepare, organize, and distribute routine documents, correspondence, and office materials as needed.
- Monitor administrative workflows and provide general clerical assistance to help the team stay on track. Requirements
- Prior experience in an administrative assistant, receptionist, or office support role.
- Ability to handle inbound calls effectively and communicate clearly with internal and external contacts.
- Strong data entry skills with careful attention to detail and accuracy.
- Experience managing calendars, scheduling appointments, and coordinating day-to-day activities.
- Proficiency with general administrative office procedures and standard business software.
- Strong organizational skills with the ability to manage multiple tasks in a fast-paced setting.
- Dependable, detail-focused, and able to work a Monday through Friday schedule.
