Description:
The Office Coordinator serves as the face and voice of Peerless of America, creating a professional and welcoming experience for every visitor, customer, supplier, and business partner. This position is responsible for managing the front office communications while supporting multiple departments through administrative assistance, data entry, and reporting.
Requirements:
Front Office & Reception Serve as the first point of contact for all visitors, customers, suppliers, and business partners. Professionally answer and direct incoming phone calls. Welcome guests and coordinate visitor sign-in procedures. Maintain the reception area and conference rooms in a professional manner. Manage incoming contact emails. Schedule meetings and assist with general office coordination. Administrative Support Enter customer orders and other operational data into the ERP system. Assist with production-related data entry and documentation. Prepare reports, spreadsheets, and administrative documents. Maintain organized electronic and paper filing systems. Support document control and record retention. Assist departments with various administrative projects as assigned. Cross-Department Support Provide backup support for the Customer Service department during vacations, absences, or periods of increased workload. Work closely with Production, Shipping, Purchasing, Sales, Accounting, and Management to ensure accurate communication and timely information flow. Assist with company events, meetings, and special projects as needed. Qualifications Education High School Diploma or equivalent required. Experience Minimum of 2 years of office administrative experience preferred. Manufacturing environment experience is a plus. ERP or business software experience preferred. Skills & Competencies Outstanding verbal and written communication skills Professional telephone etiquette and customer interaction Strong organizational and time management abilities High attention to detail and accuracy Ability to manage multiple priorities in a fast-paced environment Strong Microsoft Office skills (Word, Excel, Outlook) Positive attitude with a team-first mindset Ability to work effectively with all levels of the organization Professional appearance and demeanor
