Based on experience Position Overview Compressor Services is seeking an experienced Service / Preventative Maintenance Coordinator to support and help drive the daily operations of our Service Department. This role is best suited for a highly organized, detail-oriented professional with prior experience in service coordination, dispatch, administrative operations, or a similar fast-paced support role. The Service / PM Coordinator plays a critical role in maintaining communication between office staff, field technicians, and customers while ensuring service workflows remain organized, timely, and accurate. This position requires someone who can manage multiple priorities, communicate effectively, follow through consistently, and support a high level of responsiveness across the department. This is a full-time, in-person position , Monday through Friday, 7:30 AM to 4:30 PM , based in McHenry, Illinois . Key Responsibilities Support the daily operations of the Service Department to help ensure efficient scheduling, communication, and follow-through. Answer incoming phone calls and assist customers in a professional, timely manner. Communicate with service technicians throughout the day to verify job status, open work orders, and scheduling updates. Monitor open service tickets and help resolve issues quickly to keep work progressing efficiently. Coordinate follow-up visits and ensure parts are identified, requested, ordered, and tracked appropriately. Help ensure follow-up repair work and service opportunities are quoted in a timely manner. Confirm completed work orders are properly communicated, closed out accurately, and that customer sites are fully operational. Create or assist in creating quotes for Preventative Maintenance services for new and existing customers. Follow up on PM quotes, SMAs, and repair quotes to support department growth and customer retention. Pull and order parts for approved repairs, PMs, and SMA-related work. Assist in receiving deliveries and handling incoming shipments; forklift training available if needed. Support the creation and development of new Service Maintenance Agreements. Ensure parts request forms and related service documentation are completed accurately and submitted on time. Maintain organized and accurate electronic and physical service records. Support billing-related administrative workflows tied to service operations. Follow all company and ISO quality procedures. Perform additional duties as assigned in support of the Service Department. Performance Objectives Maintain a high level of organization, accuracy, and responsiveness across daily service operations. Support field technicians and office staff by helping keep workflows moving efficiently and minimizing service delays. Ensure documentation, parts coordination, and service records are complete, accurate, and up to date. Contribute to timely follow-up on quotes, PM opportunities, SMA development, and repair-related work. Uphold Compressor Services' standards for quality, professionalism, and customer support. Qualifications Previous experience in service coordination, dispatching, service administration, operations support, or a similar role required. Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. Strong verbal and written communication skills. Proven ability to coordinate effectively with technicians, customers, and internal staff. Strong problem-solving skills and the ability to address issues with professionalism and urgency. High attention to detail and commitment to accuracy in documentation and administrative processes. Strong working knowledge of Microsoft Excel, Outlook, Word, and PowerPoint . Ability to work independently, stay organized, and follow through without constant oversight. Consistently strong attendance, punctuality, and reliability. For that reason, dependability, punctuality, and consistent attendance are essential to success in this role . The ideal candidate understands the demands of a service-based business and takes pride in being organized, accountable, and prepared each day. This is not a passive administrative role; it is an active operational support position that requires urgency, ownership, and the ability to keep multiple moving parts on track. Education & Requirements High school diploma or equivalent required. Relevant prior office, service, dispatch, or coordination experience required. Ability to commute to McHenry, IL 60051 required.
