Assistant Office Manager and Dentist Position Summary We are seeking a dependable, friendly, and highly organized Business Assistant to join our team. This front-office role combines the responsibilities of an Appointment Coordinator, Financial Coordinator, and Insurance Coordinator. The Business Assistant plays a key role in creating a welcoming patient experience while helping keep the schedule, financial systems, insurance processing, and daily administrative operations running smoothly. Fluency in both English and Spanish is required, as this role involves regular communication with Spanish-speaking patients and translation support when needed. Responsibilities Greet patients and visitors and assist with checkin and checkout Answer phone calls, text messages, and voicemails professionally and promptly Communicate effectively with patients in both English and Spanish Provide translation support for patients and the dental team as needed Register new patients and maintain accurate records and forms Schedule, confirm, and adjust appointments to maintain an efficient schedule Monitor the schedule for openings, cancellations, and opportunities to improve patient flow Discuss treatment costs, payment expectations, and financial options with patients Prepare treatment estimates and collect patient payments Verify insurance benefits, submit claims, and follow up on outstanding claims Send supporting documentation to insurance companies as needed Help patients understand dental benefits, financial responsibility, and office instructions Reconcile daily payments and assist with financial recordkeeping Scan, organize, and file patient and administrative documents Maintain an organized, clean, and professional front office Assist with opening/closing procedures, office supplies, and patient amenities Follow HIPAA, OSHA, infectioncontrol, safety, and confidentiality requirements Provide additional office and clinical support as needed Qualifications Required Fluent in English and Spanish High school diploma or equivalent Strong verbal and written communication skills Strong computer and general office skills Professional, courteous customer service skills Ability to organize, prioritize, and complete tasks accurately and independently Preferred 1+ years of dental office experience Experience with scheduling, insurance verification, claims, and financial coordination Experience with Open Dental Experience with DentalXChange or similar software Familiarity with Microsoft Word, Excel, email, and standard office equipment Skills and Experience Candidates with strong customer service or medical office experience Must possess a friendly, positive, dependable, and detail-oriented, Manage multiple priorities in a busy environment. Strong communication skills both orally and written The ability to solve problems in a timely manner Understanding and respect for patient privacy Must collaborate effectively with coworkers and contribute to a positive team environment Physical Requirements This position may involve sitting, standing, walking, bending, reaching, and assisting throughout the office. Ability to lift up to approximately 40 lbs. may be required. The role also requires frequent use of a computer, keyboard, telephone, and other standard office equipment.
