Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Handle comprehensive office management tasks such as filing, data entry, proofreading, and maintaining organized records Support customer service efforts by assisting clients with inquiries, providing support via phone or email, and ensuring positive interactions Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for data entry, document creation, and bookkeeping tasks Coordinate calendar management and scheduling for team meetings, appointments, and personal assistant duties as needed Oversee office supplies inventory and facilitate procurement to ensure smooth daily operations Assist with clerical tasks such as proofreading documents, managing correspondence, and maintaining accurate filing systems Qualifications Proven office experience with strong organizational skills and proficiency in Microsoft Office Suite and Google Workspace Excellent computer literacy including data entry, typing speed, and familiarity with multi-line phone systems Prior clerical experience in an administrative or customer support role is highly desirable Bilingual abilities are a plus to effectively communicate with diverse clients and team members Knowledge of QuickBooks or bookkeeping experience is advantageous for handling financial records Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Exceptional customer service skills combined with professional phone etiquette and proofreading abilities Join us to be part of a vibrant team where your organizational talents will make a real difference!
