Job Description
Flourish is seeking a qualified and motivated intake coordinator to work at our multi-specialty infusion clinic located in Fort Wayne. Patient Experience & Front Desk Operations Greet patients warmly upon arrival and ensure timely, professional check-in and check-out processes. Answer incoming phone calls and respond to voicemail in a timely, professional, and courteous manner. Schedule, reschedule, and confirm patient appointments as needed, coordinating closely with clinical and intake teams. Collect and verify patient demographic and insurance information when applicable. Ensure that patients feel welcomed, informed, and well cared for during every interaction. Clinic Coordination & Environment Monitor and maintain the cleanliness, organization, and presentation of the clinic's front office, waiting area, and common spaces. Ensure that snacks, beverages, and amenities for patients are stocked and readily available. Order and manage clinic office and non-clinical supply inventory to avoid shortages or overstocking. Report facility issues (cleaning, maintenance, etc.) promptly to ensure a safe and welcoming environment. Communication & Liaison Duties Serve as the primary liaison between the clinic and referring provider offices, ensuring prompt communication and positive relationships. Coordinate with the intake team and clinical staff to ensure a smooth flow of patients and accurate scheduling. Assist with internal communications and support cross-functional collaboration to address operational needs. Relay patient or visitor concerns to leadership with professionalism and discretion. Administrative Support Perform administrative duties such as scanning, faxing, printing, filing, and data entry. Maintain logs or records as assigned to support clinic compliance and operational efficiency. Help prepare the clinic at opening and secure it at closing, following established protocols.
