$20HR We are seeking a detail-oriented and highly organized Administrative Assistant to provide support to department leadership, training coordinators, and operational teams. This role is responsible for records management, training administration, document digitization, office coordination, and a variety of administrative functions that help ensure efficient daily operations. The ideal candidate is a self-starter with strong organizational skills, proficiency in Microsoft Office, and the ability to quickly learn new systems and processes. This position requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. Key ResponsibilitiesAdministrative Support Provide professional administrative support to department leaders and team members. Coordinate meeting logistics, including scheduling conference rooms, arranging visitor access, ordering refreshments, and preparing meeting materials. Schedule and coordinate meetings as requested by leadership. Research and arrange travel accommodations, including flights, hotels, and rental vehicles as needed. Prepare, organize, and maintain administrative records and reports. Assist with expense reporting, receipt management, and reimbursement documentation. Maintain office supply inventory and place orders as required. Records & Document Management Support records retention and document management activities. Maintain file shares and electronic document repositories. Digitize paper documentation and ensure accurate electronic record storage. Assist with document organization, version control, and ongoing maintenance. Support digital procedure creation and management initiatives. Training Coordination Support Assist training coordinators with scheduling and administrative support for training programs. Assign, track, and monitor training completion requirements within various systems. Maintain and transfer training documentation into electronic records systems. Support training metrics reporting and administrative tracking activities. Technology & Process Support Utilize Microsoft Office applications and other business systems to complete daily responsibilities. Learn and effectively use new software, technology tools, and business applications. Troubleshoot basic office equipment and technology issues or coordinate resolution when needed. Follow established procedures and escalate issues appropriately. Identify opportunities to improve administrative efficiency and workflow processes. Communication & Teamwork Maintain effective working relationships with employees, leadership, and visitors. Communicate clearly regarding work status, priorities, and issues. Demonstrate initiative, accountability, and strong follow-through on assigned tasks. Contribute to a collaborative team environment focused on continuous improvement and learning. Required Qualifications Previous administrative support experience. Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple tasks and priorities effectively. Experience maintaining records, documentation, or compliance-related files. Ability to learn new software systems and technologies quickly. Strong problem-solving skills and ability to work independently. Preferred Qualifications Experience supporting training programs, compliance activities, records management, or document control functions. Experience working in an industrial, manufacturing, operations, or corporate office environment. Familiarity with electronic document management systems and training management systems. Work Environment Primarily office-based position. May occasionally travel between buildings or work areas within the site. Standard office equipment and computer-based work. Site-required safety equipment may be necessary when entering designated operational areas. Schedule Monday through Friday. Standard daytime business hours. Typical start time around 7:00 AM. Schedule may be a traditional 5-day workweek or a 9/80 schedule depending on business needs. Desired Candidate Attributes Organized, detail-oriented, and process-driven. Pay:
