We are looking for a bright and energetic person to fill the role of administrative assistant. This role will provide direct administrative help to the practice's Administrator. The candidate must have great attention to detail, time management, ability to multi-task and prioritize, and excellent verbal and written communication skills via phone, email, and text.
Other required qualities include:
integrity, high ethical standards, and ability to maintain confidentiality. Job Duties include, but are not limited to: Inter-office communication: daily absence emails, maintaining employee phone extension list
Advertisement/Marketing:
Daily export of patient emails from Epic to our Web Master, preparing EPIC reports for the partners Assist with
Provider Credentialing:
Maintain CAQH profiles for all providers and attest address locations every 3 months Maintain company and provider listings in insurance databases and directories Assist with Updating/maintaining policies and Certifications for providers: liability, corporate Annual Reports, fluoroscopy certification for physicians, documentation for inspections and reporting, malpractice policies
Accounts Payable:
Compile weekly invoices for review, and paying approved bills Communication with bookkeeper Tracking expenses Order office supplies: Amazon, Bj's, WB Mason, etc.; keep breakroom supplies stocked; ordering name tags
Calendars:
Track employee time off and call outs Track employee birthdays, give cards/gift cards to employees
Provider Meetings:
keep minutes binder up-to-date Assist with communication with IT and building management regarding issues in the office
Mail:
Sort and distribute, Maintain postage machine, bi-weekly mail run between Beverly and Billing offices. Assist new projects or tasks as needed .............................................................................................................................................................................. North Shore Pain Management has 3 offices- clinical offices in Beverly and Woburn, and our Billing/Insurance office in Danvers. This position would be based in Beverly, but some travel between offices will be required and mileage will be reimbursed. Position is Monday - Friday, 8am-4:30pm.
Rate:
$22-$25, commensurate with experience. Please submit a resume and cover letter.
Requirements:
Education:
Minimum of a High School Diploma or Equivalent (College Grad preferred)
Experience:
Minimum of 2 years administrative experience and calendar management required. Previous experience in a medical office strongly preferred. Knowledge of insurance, Medicare, MIPs, etc. a plus.
Technical Skills:
Microsoft Office, Experience with QuickBooks and EPIC a plus but will train
In-person:
