This role requires a highly organized, detail-oriented professional who can manage financial tracking, job setup, invoicing, and compliance documentation with efficiency and accuracy. You will play a key role in supporting both the operations team, estimating team, maintaining smooth office operations, and fostering strong client relationships. Roles and Responsibilities Financial & Project Coordination Assist with job status budgets by updating internal and external change orders through Foundation Software. Handle all AIA format invoicing and accounts receivables, ensuring timely billing and collections. Assist in monthly credit card summary review and approval process. Consistently meet deadlines for monthly close and financial reporting. Administrative & Office Management Serve as the primary point of contact for incoming office calls and client inquiries. Maintain organized files, records, and documentation Order, distribute, and track uniforms for branch employees. Ensure office supplies and resources are stocked and available. Coordinate branch and project meetings, including scheduling, agenda preparation, and meeting minutes. Acts as support to Human Resources for within the Branch in coordination with corporate team. Sales and Estimating Support Create organized job folders in SharePoint for new projects sold. Setup newly awarded projects in Foundation (Accounting Software) and manage project budget input from B2W (Estimating Software). Assist in the turnover process from sales to production teams for newly awarded projects. Review bid invites with Pre-construction Manager and respond to all bid invites. Assists the company with organization of networking events. Completes and manages pre-quals, job specific COI's, and vendor setup. Assist in HubSpot data entry, updates, and reporting. Operations Support Produce daily, weekly, and monthly reports then distribute to the team. Manage new vendor setup and compliance including COI's, W-9, and coordination of payment terms with corporate team. Assist with hiring needs, new hire equipment setup, and oversee new hire paperwork completion for the branch. Requirements At least 3 years of experience in an administrative role. Ability to work onsite in Laytonsville, MD 5 days a week, Monday-Friday. Strong customer service skills with the ability to interact professionally with clients and team members. Excellent communication skills, both written and verbal. Experience answering, screening, and transferring incoming calls to the branch while leaving a good impression. Strong computer proficiency, including Outlook, Word, Excel, and other Microsoft Office Programs. Understanding of basic accounting principles and experience with financial tracking and reporting. Ability to manage accounts receivables, accounts payable, and payroll-related tasks. Ability to thrive in a fast-paced team environment. Ability to multitask and prioritize workload effectively. Flexibility to adapt to changing priorities and deadlines. Highly organized with strong attention to detail. Fluency in English required; bi-lingual in Spanish preferred. Valid driver's license and reliable transportation for occasional travel to project sites or vendor locations.
