Job Description
We are looking for a highly organized Administrative Assistant to support executive-level priorities and daily office operations in Jefferson, Louisiana. This contract opportunity is ideal for an experienced candidate who can balance front-desk responsibilities, administrative coordination, and legal support tasks in a fast-paced environment. The right candidate will be comfortable working with documents, calendars, correspondence, and office systems while maintaining accuracy and a courteous approach. Strong computer proficiency and the ability to shift between multiple responsibilities are essential for success in this role.
Responsibilities:
- Provide day-to-day administrative support to leadership, including scheduling, correspondence preparation, and coordination of meetings and appointments.
- Serve as a primary point of contact for incoming calls and visitors, ensuring a courteous and welcoming front-office experience.
- Prepare, format, and organize business and legal documents with close attention to accuracy, deadlines, and confidentiality.
- Maintain physical and electronic files, including client records, case-related materials, and general office documentation.
- Coordinate calendars and logistics for hearings, depositions, meetings, and other time-sensitive events.
- Assist with office operations such as vendor communication, invoice tracking, supply coordination, and general administrative follow-up.
- Support onboarding and HR-related administrative activities, including document collection and scheduling assistance.
- Enter and update data in office systems, spreadsheets, and reports to keep information current and accessible.
- Review records and supporting documentation as needed to help organize materials for internal and legal administrative processes.
