Job Description

Office Assistant Maine Radon & Water Treatment Overview Maine Radon & Water Treatment serves Southern and Central Maine with radon mitigation, water treatment, and air filtration solutions. We're hiring an Office Assistant to be the friendly, organized "hub" of our office—answering a high volume of calls, keeping customer information accurate in our CRM, and supporting scheduling and day-to-day admin work. If you're calm under pressure, enjoy helping people, and can stay organized while juggling multiple priorities, you'll do well here. What you'll do: Phones & customer support (a big part of the job) Answer and route a high volume of incoming calls using a multi-line system Gather basic customer details, explain next steps, and ensure questions get to the right team member Provide a warm, professional first impression for customers and vendors CRM & office admin Create/update customer records, notes, and follow-ups in our CRM with accuracy Enter data, scan/upload documents, and keep records organized and confidential Prepare basic correspondence (emails/letters), proofread documents, and manage incoming/outgoing mail Scheduling & coordination Assist with appointment scheduling and calendar coordination Communicate clearly with customers and internal team members to confirm appointments and expectations Light bookkeeping support (depending on experience) Assist with invoicing, payment tracking, and simple record-keeping (QuickBooks) Track expenses and maintain basic documentation What we're looking for Excellent phone presence : friendly, confident, and clear—even during busy times Strong organization : you like systems, checklists, and clean follow-through Tech comfort : able to learn software quickly; experience with CRM tools , Google Workspace, and Microsoft Office Accuracy + attention to detail : you record the right info the first time Reliable and steady attitude : you stay professional and positive with customers and coworkers Nice to have Experience with QuickBooks Scheduling/dispatching experience Prior office admin or customer service experience in a service-based business What success looks like in the first 60-90 days Calls answered promptly and routed correctly CRM notes and customer records are accurate and complete Scheduling support runs smoothly with fewer missed details and fewer back-and-forths
Pay:
$22.00 - $25.00 per hour
