The Plant Coordinator ensures that customer deadlines and production requirements are met by overseeing production timelines, managing and prioritizing customer demands, rush orders and high priority production requirements, interfacing with customers, advising customers on pricing issues related to order changes, and ensuring timely delivery of products.Essential Duties & Responsibilities:
- Greets clients, visitors and guests in a warm friendly manner, determines the purpose of each person's visit and notifies appropriate company personnel of visitor arrival including answering, screening, and directing phone calls to employees in a polite manner; takes messages when necessary
- Maintains office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Reads shipping documents, invoices, orders, and other documents so as to determine priorities and shipping methods that are needed to meet schedules.
- Verifies customers and order information for correctness and efficiently processes this information to generate necessary paperwork. This includes reviewing orders and other documents so as to determine priorities and shipping methods that are needed to meet schedules.
- Communicates directly with customers to provide status updates and serves as a liaison for customers to resolve open issues related to sales and/or quality.
- Coordinates the ordering of material and supplies once management has identified production needs and ensures proper paperwork is completed for each order.
- Ensures reception and common areas are tidy and presentable
- Assists with other projects, as needed, performs other duties as assigned.
Competencies:
- Excellent written and verbal communication skills.
- Ability to communicate professionally, effectively and courteously with customers and prospective customers, orally and in writing.
- Ability to work independently with minimal oversight.
- Proficient with computers, Microsoft Office and cost software.
- Detail oriented.
Qualifications:
- High school diploma or GED.
Physical Demands:
The physical demands described below must be met to successfully perform the essential functions of this job.- Prolonged periods of sitting at a desk working on a computer; intermittent standing and walking.
- Dexterity is mandatory as this job requires frequent use of hands and fingers.
- Will be required to talk, hear, and see. Vision requirements for this position include close vision, distance vision, peripheral vision, depth perception, ability to adjust focus and ability to differentiate between colors.
- Occasional lifting and moving of up to 25 lbs.
Work Environment:
- This position is primarily performed in an office setting.
- Occasional exposure to production areas.
