Job Overview Parnassus Preparatory School seeks an organized, professional, and student-centered Elementary Administrative Assistant to support the daily operations of the elementary school (School of Grammar) office. This position serves as a primary point of contact for students, families, staff, visitors, and vendors and helps ensure that the school office is welcoming, efficient, secure, and well organized.

Responsibilities Welcome and assist students, families, staff, visitors, and vendors at the front desk in a friendly and professional manner. Answer and direct phone calls; respond to routine questions and route concerns appropriately. Confirm, enter, maintain, and report student attendance, tardies, and other student information in the school's student information system. Maintain accurate student records, office files, registration information, scheduling data, locker assignments, report cards, test data, and related school records. Assist with new and returning student registration and prepare materials for the start of the school year, including registration packets, family mailings, emergency folders, staff directories, photo-permission lists, and assignment notebooks. Support field trips and student transportation by coordinating bus arrangements, preparing field-trip materials, assembling emergency contact information, and obtaining first-aid kits as directed. Collect student fees and activity payments, including textbook replacement, field-trip, lunch, extracurricular, and after-school-program payments; ensure cash and checks are promptly provided to the Office Supervisor for secure storage. Assist with vendor communication, school forms, copying, laminating, scanning, correspondence, supply inventory, ordering, and internal mail procedures. Help maintain organized, secure, and professional office and workroom spaces. Assist with health-room organization and coverage as assigned, including maintaining supplies in the absence of the school nurse or health-room attendant. Support emergency preparedness, fire drills, other safety drills, crisis-response procedures, and related administrative needs. Assist with printing and distributing report cards, progress reports, attendance reports, tardy reports, and other school communications. Maintain the confidentiality and security of student, family, and staff information at all times. Perform other duties as assigned by the Office Supervisor or elementary administration
Qualifications:
High school diploma or equivalent required. Previous administrative, clerical, front-office, customer-service, or school-office experience preferred. Strong written and verbal communication skills, including professional phone and in-person communication. Proficiency with computers, Microsoft Office applications, data entry, office equipment, and the ability to learn student information systems and school software quickly. Excellent organizational, time-management, proofreading, and multitasking skills. Ability to communicate with students, families, and staff with empathy, patience, professionalism, and sound judgment. Ability to remain calm, compassionate, and solution-oriented when responding to family questions, concerns, or challenging situations. Ability to handle confidential information with discretion and follow school policies for records security. Comfort assisting students with routine health, hygiene, personal-care, and bodily-fluid-related needs in accordance with school health and safety procedures. Ability to work independently while collaborating effectively with the Office Supervisor, administrators, faculty, and staff. Working Conditions This position requires frequent computer and office-equipment use; repetitive hand and finger motion; talking and hearing; and near vision. The role involves light work, including occasional lifting or moving of materials weighing up to 20 pounds, as well as the ability to work effectively in a busy school-office environment with changing priorities and deadlines.
