Job Description
Description We are looking for a detail-oriented and highly organized Administrative Assistant to join our team in St. Louis Park, Minnesota. This is a long-term contract position offering the opportunity to support multiple projects and teams with a variety of administrative and clerical tasks. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage competing priorities effectively.
Responsibilities:
- Manage and organize complex clerical tasks while maintaining a high level of confidentiality and integrity.
- Communicate effectively in both written and verbal forms to ensure clear and concise interactions.
- Oversee office and field office supply inventories, placing orders and managing vendor relationships as needed.
- Process and properly code invoices, employee credit card reports, and vouchers, ensuring accuracy and compliance with workflow processes.
- Coordinate check requests and approvals for payment processing.
- Maintain electronic project files and subcontractor bidding lists to support project needs.
- Assist with administrative and accounting tasks for multiple projects, including data entry and vendor-related duties.
- Arrange meals for work meetings and ensure positive and effective communication with staff, subcontractors, and visitors.
- Support the coordination of bids for office and site-related services such as cleaning, dumpsters, and construction supplies.
- Perform additional administrative duties as assigned to support the team. Requirements
- A minimum of 5 years of experience in an administrative or office environment.
- Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced setting.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to work independently while maintaining a high level of professionalism and confidentiality.
- Proficiency in office technology and software, including Microsoft Teams, Office 365, CMiC, Bluebeam, and similar tools.
- Flexibility and adaptability to handle a variety of situations and changing priorities.
