Job Description
Job Summary Hamilton High School is seeking a dedicated and organized individual to join our team as an office secretary. The ideal candidate will play a vital role in ensuring the smooth operation of the school's administrative functions. This position requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The secretary will serve as the first point of contact for students, parents, and staff, contributing to a positive school atmosphere. Responsibilities
- Support front office operations, including answering phones, greeting visitors, and responding to inquiries in a professional manner.
- Assist in the maintenance of accurate student records, including attendance, grades, and enrollment information.
- Assist in coordinating school events, meetings, and schedules for faculty and administration.
- Prepare and distribute communications, including newsletters, announcements, and reports.
- Handle confidential information with discretion and maintain the privacy of student and staff records.
- Support the principal and other administrative staff with various clerical tasks as needed.
- Manage school correspondence and maintain existing filing systems for easy access to documents.
- Provide support to students and parents, addressing concerns and directing them to appropriate resources. Requirements
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience as a secretary or in a similar administrative role, preferably in an educational setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent verbal and written communication skills.
- Ability to work collaboratively with staff, students, and parents in a diverse school environment.
- Strong attention to detail and problem-solving abilities.
- Familiarity with school policies and procedures is preferred.
- Ability to maintain confidentiality and handle sensitive information.
- Flexibility to adapt to changing priorities and work demands.
- Ability to pass a fingerprint-based background check per school board policy.
