All candidates must be eligible to work and live in the U.S Department Management - 255300 Primary Purpose of Position The purpose of the position is to perform general office and administrative tasks in support of the Department of Management. Minimum Qualifications Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

License/Certification Required Essential Job Functions The position serves as Administrative Assistant to the Chair in the Department of Management in carrying out all administrative responsibilities for the department, including, but not limited to; budgets and purchasing course scheduling and management via Banner maintenance of records and files supervision of student assistants ordering and maintaining office supplies and other general office duties. This individual also provides some administrative assistance to the department's 50+ faculty and assists students with general questions about academic programs, faculty office hours, course registration, etc. Knowledge, Skills, & Abilities Required for this Position Ability to work with financial information and budgets; Knowledge and ability to utilize office equipment and perform general office support functions; Knowledge and ability to use Word Processing and Spreadsheet software (Microsoft Office, Google Workspace) effectively; Knowledge and ability to utilize university IT systems such as Banner (finance and student information), AIM, Web Focus Dashboard and QuickBooks. Knowledge of University, College and Departmental policies and procedures related to student academics, purchasing, travel, faculty issues, budgets, and scheduling and enrollment. Preferred Qualifications Knowledge of Banner for budgeting, student information, course scheduling; Experience with MS Office and Google Workspace Self-starter/Learner Team Player Service Orientation High-level customer service Required Functional Competencies to Successfully Perform Job Duties.Budgeting:
Exercises responsibility for administering the budget, which includes making recommendations regarding the use and distribution of funds. In conjunction with the administrator, advises subordinate units on fiscal matters such as budget planning, budget analysis, and funding sources. Manages the overall budget for the administrator by reporting expenditures and allocation of funds and sources on a regular basis. Interprets and applies all aspects of the P-card purchasing policies and procedures as well as special funds accounting for grants, along with university policies and procedures of purchasing.Communication-verbal:
Interprets guidelines, answers inquiries, and advises others regarding processes, services, and operations as applied to non-standard situations. Communicates expectations to other employees, which may include formal/informal training. Schedules and coordinates appointments, meetings, and events.Information/records administration:
Performs research, data collection and analysis of information, and report writing. Utilizes, reconciles, and manipulates data from different internal and external software systems. Applies an in-depth knowledge of a variety of complex processes and procedures. Demonstrates acceptable interpretations and applications of the archival procedures and tenure and promotion policies and procedures. Demonstrates acceptable interpretations and applications of the Resource Manual, University Policies and Procedures, and Faculty Search requirements.Problem solving:
Independently resolves and/or develops recommendations for unprecedented issues and problems. Problem resolution requires some interpretation of policy and procedures. Serves as a resource for others in resolving unprecedented, non-standard issues and problems. Assumes responsibilities for and manages the results of decisions. Coordinates and facilitates solutions with other work units. Interprets and completely understands when to refer complex problems to the chair. Type of Position Permanent Full-Time Staff/Non-Faculty Staff/Non-Faculty Appointment Type 1.0 Work Schedule/Hours Typically Monday-Friday, 8:00 am to 5:00 pm. Number of Hours Per Week 40 Number of Months Per Year 12 Mandatory Staff No Physical Demands of Position Physical demands of the position are consistent with the typcial office environment. Overall Competency Level Advanced Salary Grade Equivalency Salary Range Anticipated Hiring Range $43,542 - $46,643 Pay will be commensurate with applicant competencies, budget, equity and market considerations.
