Job Description
Join our team this fall! This position will be available November 1, 2026 This position will provide administrative support and overall assistance to the administrative and management team in a pediatric speech and occupational therapy practice. The person in this position reports directly to the Administrative and Office Manager. Many of the job functions require direct contact with patient families and referring MD offices. The administrative assistant provides support in clerical and general office duties to assist all of the departments within the company. The primary function of this administrative support is to assist each department in staying organized, executing job assignments to assist the departments in meeting their goals and deadlines, and to provide a neat and welcoming office environment for the staff and visitors. Interpersonal skills and advanced computer and organizational skills are a must! Qualifications Demonstrated ability to present a happy and positive face to the office when greeting clients and professional colleagues via phone, email and in person. Demonstrated ability of strong organizational skills and knowledge of medical office management procedures, methods and practices. Demonstrated ability to communicate effectively orally as well as in writing using correct grammar, vocabulary, spelling, proofreading and medical terminology to compose correspondence, reports and other materials. Demonstrated ability to compile, assimilate, and organize both printed and electronic information. Demonstrated ability to utilize office equipment and relevant technology including
Microsoft Office Suite:
Word, Excel, and PowerPoint Demonstrated ability to use simple design applications such as Canva Duties Provide administrative support to ensure efficient operation of the office Answer and direct phone calls, take messages, and respond to inquiries Welcome clients and their families as they arrive for appointments Communicates with referring MD offices via phone call, fax and email regarding patient referrals Communicates with clients via phone call, fax and email regarding billing statements and credit card charges Design and edit social media posts and marketing materials in Canva Perform data entry and maintain electronic and hard copy filing systems Assist with event planning and coordination Maintains a welcoming office environment - keeping a neat and clean appearancePay:
