This vital role combines administrative expertise with industry-specific knowledge, ensuring smooth office operations and excellent customer support. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently in a fast-paced environment. Your contribution will help streamline daily activities, support field technicians, and enhance overall office productivity. Responsibilities Manage front desk duties, including greeting visitors and directing phone calls using our office phone with professionalism and courtesy Handle scheduling and calendar management for service appointments, meetings, and project deadlines using Google Workspace or Microsoft Office tools Support office management tasks such as inventory tracking, supply ordering, and document proofreading to ensure operational efficiency Provide exceptional customer service by addressing inquiries promptly via phone or email and supporting client communication efforts Assist with clerical tasks including typing reports, preparing correspondence, and organizing files for easy retrieval Coordinate with field technicians and management to ensure timely communication and smooth workflow across departments Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook), Dispatching software and Google Workspace applications Experience with QuickBooks for bookkeeping and financial recordkeeping Excellent organizational skills with the ability to multitask effectively in a busy office environment Bilingual abilities are a plus to serve diverse customer needs more effectively Demonstrated office management experience combined with clerical and administrative expertise Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer support High level of computer literacy including data entry, proofreading, calendar management, and general office software familiarity Strong time management skills to prioritize tasks efficiently while maintaining accuracy and attention to detail Join us in a role that offers the opportunity to be an essential part of a thriving team dedicated to delivering top-tier service while advancing your career in a supportive environment!
