•$70,616.00 GUC is searching for a highly motivated individual to fill the Managing Administrative Assistant position within the Gas Department. Under general supervision, this individual performs complex administrative and office support functions, including composing correspondence, managing records, scheduling meetings, and assisting with budgeting. Supervises clerical and administrative staff, oversees customer appointment scheduling, and serves as a power user for the Oracle Customer Cloud Service system. Provides high‑level support to department leadership through workflow coordination, certification tracking, procurement assistance, and compliance with records retention requirements. Manages office operations, processes invoices, coordinates training and travel, compiles statistical reports, and maintains inventory and a safe working environment.
Job Responsibilities Include:
Supervises the work of assigned personnel including assigning and reviewing work, providing guidance, and conducting performance evaluations. Coordinates daily administrative operations by managing correspondence, calls, confidential mail, office supply inventory, and departmental communications. Responsible for scheduling customer appointments for connections effectively and efficiently and ensures customer information and billing system accurately reflects the field actions taken by departmental crews. Provides comprehensive administrative support to department leadership by preparing correspondence, managing calendars, organizing meeting materials, producing presentations, coordinating travel, and handling confidential personnel information. Supports budget preparation by tracking expenditures, entering operational and payroll data into the enterprise budget system, assembling required documentation. Prepares material for board meetings and internal planning sessions. Manages administrative processes by maintaining departmental records in accordance with the appropriate retention and disposition schedule, processes invoices, and prepares required compliance communications for customers, including interruptible service notifications. Compiles, analyzes, and distributes statistical and operational data for reporting, including KPIs and corporate reports. Performs system testing as a power user to ensure accuracy. Creates purchase requisitions, completes purchase card reconciliations and submits invoice approvals as appropriate. Participates in various committees and sub-committees as needed. Performs related work as required.
Minimum Requirements:
Associate degree in related field Over five (5) years of experience Typical work schedule is Monday through Friday
