Job Summary We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. This vital role involves providing exceptional administrative support, managing front desk responsibilities, and ensuring efficient office management. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to foster a welcoming environment for visitors and staff alike. Your proactive approach will contribute significantly to maintaining an organized, productive, and positive workplace atmosphere. Responsibilities Greet visitors and clients professionally at the front desk, ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously while providing excellent customer service. Handle data entry tasks with precision using computer skills, including Microsoft Office and Google Workspace applications. Maintain organized filing systems, both physical and digital, to ensure quick retrieval of documents. Assist with calendar management and scheduling appointments for staff members or executives. Support office management activities such as ordering supplies, managing inventories, and coordinating maintenance requests. Perform clerical duties including proofreading documents, managing correspondence, and preparing reports as needed. Provide customer support by addressing inquiries promptly and professionally via phone or email. Manage incoming and outgoing mail, courier services, and shipping logistics efficiently. Support bookkeeping tasks using QuickBooks or similar accounting software when necessary. Qualifications Proven office experience with strong clerical skills and familiarity with office equipment such as multi-line phones and fax machines. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong communication skills, including phone etiquette and bilingual abilities preferred to serve diverse clients. Experience with data entry, proofreading, filing systems, and basic bookkeeping is highly desirable. Ability to handle multiple responsibilities simultaneously while maintaining attention to detail. Prior experience in customer service or administrative roles within medical or dental offices is a plus. Demonstrated time management skills with the capacity to meet deadlines consistently.
