Company Overview We are a low-voltage company specializing in nurse call systems and related communication and safety solutions for healthcare facilities. We are seeking a dependable, organized, and professional individual to join our office team. Position Summary The Collections and Office Support Specialist will be responsible for following up with facilities regarding outstanding payments, answering incoming phone calls, entering and updating work orders, maintaining accurate records, and filing important documentation. The ideal candidate is comfortable communicating with customers, handling sensitive account information, and managing multiple office responsibilities in a fast-paced environment. Primary Responsibilities Contact healthcare facilities regarding outstanding invoices and payment statuses Follow up on past-due accounts in a professional and courteous manner Document all collection efforts, payment updates, and customer communications Answer incoming phone calls and direct calls to the appropriate department Assist customers with general questions and service requests Enter new work orders accurately and collect all required information Update customer, facility, and work-order records as needed File invoices, service reports, purchase orders, and other important documents Maintain organized electronic and physical filing systems Communicate with technicians, office staff, and facility representatives Assist with general administrative and office duties as assigned Qualifications Previous experience in collections, accounts receivable, customer service, or office administration is preferred Strong telephone and customer-service skills Professional and confident when discussing outstanding payments Excellent organization and attention to detail Ability to enter information accurately and maintain complete records Comfortable working with computers, email, and office software Ability to prioritize tasks and manage multiple responsibilities Dependable, punctual, and able to work independently Experience with work-order or field-service management software is a plus Experience working with healthcare facilities, contractors, or low-voltage companies is a plus
