Job Description We are looking for an organized and dependable Administrative Assistant to support daily office operations in Orange, New Jersey. This Long-term Contract position is ideal for someone who can manage confidential information with professionalism, maintain a structured workflow, and provide strong administrative support to office leadership. The role requires excellent communication skills, sound judgment, and the ability to coordinate multiple priorities in a fast-paced school-based environment.
Responsibilities: Safeguard sensitive information and handle confidential materials with discretion in accordance with supervisory expectations. Provide administrative and clerical support for the office, using independent judgment and a solid understanding of school and district procedures. Manage incoming and outgoing correspondence, draft routine responses, and prepare clear written documents through typing, editing, and proofreading. Maintain accurate electronic and physical filing systems, ensuring records are accessible, organized, and secure. Coordinate calendars, schedule appointments, and support the administrator with day-to-day time management needs. Assist with preparing reports, presentations, and other documents by collecting information, organizing data, conducting research, and assembling final materials for distribution. Develop forms and track data needed for office operations, required reporting, and completion of administrative priorities. Organize meetings by scheduling logistics, preparing agendas and supporting materials, and following up on action items after sessions conclude. Monitor office supply inventory, arrange equipment service when needed, and help maintain a clean, safe, and efficient work environment. Support budget and account recordkeeping, oversee purchase order activity, and assist with clerical staff coordination, urgent situations, mandated training, and other assigned duties within the scope of the role. Experience providing administrative support in a detail-oriented office environment. Strong ability to manage confidential information with discretion and good judgment. Proficiency in data entry, document preparation, filing systems, and general office administration. Skilled in coordinating appointments, meetings, and multiple priorities with accuracy and efficiency. Effective written and verbal communication skills, including proofreading and producing clear correspondence. Working knowledge of office technology and ability to support basic IT-related administrative tasks. Ability to maintain organized financial and purchasing records and assist with routine bookkeeping activities.
