Job Description
Scion Staffing has been engaged to conduct a search for a Project Coordinator / Senior Administrative Assistant for an established, privately held company providing specialized products and services to commercial clients. This is a Temp-to-Hire, 100% onsite opportunity in Long Island City, NY , offering the opportunity to work directly with company ownership and play an integral role in keeping client projects and day-to-day operations moving forward.
POSITION OVERVIEW
The Project Coordinator / Senior Administrative Assistant will provide high-level administrative and project coordination support to company ownership while independently managing multiple client, vendor, and operational workflows. This position is ideal for a proactive professional who excels at tracking details, anticipating needs, coordinating across multiple stakeholders, and ensuring projects and outstanding action items move through completion. The successful candidate will bring a strong sense of ownership and sound judgment, allowing leadership to confidently delegate projects and responsibilities with minimal oversight.PERKS:

Independently coordinate multiple active projects from initiation through completion, maintaining project details, deadlines, documentation, outstanding action items, and follow-up. Communicate professionally with clients, vendors, suppliers, and internal teams to gather information, resolve routine issues, coordinate services, and keep projects progressing. Support quoting and proposal processes, track approvals, maintain work orders and project documentation, and proactively follow up on outstanding information or decisions. Coordinate scheduling, service appointments, pickups, deliveries, materials sourcing, purchasing, and other operational logistics based on project needs. Maintain organized records related to vendors, purchasing, materials, project costs, and invoicing readiness while assisting with vendor invoices and other administrative financial processes. Anticipate upcoming needs, identify potential delays or issues, independently prioritize competing responsibilities, and recommend opportunities to improve administrative processes and workflow efficiency.QUALIFICATIONS
Demonstrated experience independently owning projects, accounts, operational workflows, or administrative processes through completion rather than solely providing task-based clerical support. Strong project coordination, operations, office management, executive administrative, account/client coordination, vendor management, or related professional experience. Excellent organizational and prioritization skills with the ability to manage multiple deadlines, interruptions, and changing priorities without losing track of outstanding responsibilities. Strong professional communication skills and experience coordinating with clients, vendors, suppliers, leadership, and cross-functional internal teams. Proactive, accountable, detail-oriented, and resourceful approach with strong judgment and the ability to determine when to independently resolve an issue and when escalation is appropriate.COMPENSATION AND BENEFITS
This exciting Temp-to-Hire opportunity offers an hourly pay rate of approximately $26-$28.50 per hour , depending on experience, qualifications, and final client approval. This position is 100% onsite in Long Island City, NY and is intended to provide a long-term career opportunity for the successful candidate.
