Job Description
Administrative Assistant Voleon is a technology company that applies state-of-the-art AI and machine learning techniques to real-world problems in finance. As an Administrative Assistant, you will provide high-impact support to senior leaders at Voleon. In this role, you may directly support up to three senior executives in our Legal and Compliance organization. You will amplify their impact by managing day-to-day operations, enabling focus on the most important strategic priorities. Responsibilities
- Provide proactive administrative support to senior executives (Legal and Compliance leaders), acting as a trusted partner and point of contact
- Manage complex calendars, meetings, and communications, resolving conflicts and anticipating needs
- Coordinate domestic and international travel and handle related expense reporting
- Plan and support on-site and virtual meetings and events, including logistics, materials, room setup, visitors, and catering
- Support light project management activities (tracking action items, follow-ups, and status) and partner closely with Executive Support colleagues to provide cohesive support to the leadership team
- Continuously identify and implement opportunities to streamline administrative processes and enhance team efficiency
- Handle confidential and non-routine information with the utmost care and discretion
- Provide responsive assistance to colleagues, clients, and vendors as requested
- Assist with project management, research, and IT support as required Requirements
- 3+ years of experience in administrative support; experience with technology leaders preferred
- Proven experience supporting multiple senior executives in both in-person and remote environments
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities with exceptional attention to detail
- Excellent written and verbal communication skills; professional, clear, and courteous in all interactions
- Meticulous attention to detail and accuracy
- Ability to manage tasks independently, prioritize effectively, and adapt to changing demands
- Demonstrated sense of urgency, flexibility, and comfort navigating changing priorities in a fast-paced environment
- Proficiency with MS Outlook calendaring, Word, Excel, and PowerPoint; experience with Atlassian and other Agile Project Management tools (Jira, Confluence, Smartsheet) is a plus
- Experience with GenAI tools and technologies is a plus
- Expected to work onsite Tuesday-Thursday, with flexibility to work onsite additional days as needed
- Bachelor's degree (preferred but not required)
