Job Description

Job Summary We are seeking a dynamic and organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional customer support, and maintaining efficient administrative processes. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to thrive in a fast-paced environment. As an Office Assistant, you will be the backbone of our office, helping to create a welcoming atmosphere while managing essential clerical tasks that keep everything running seamlessly. Duties Greet visitors and clients at the front desk with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette. Handle incoming calls, direct inquiries appropriately, and provide outstanding customer service support. Manage calendar appointments, schedule meetings, and coordinate office events using Microsoft Office and Google Workspace tools. Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records. Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping. Support office management duties such as supply inventory, maintaining cleanliness, and organizing files for easy retrieval. Provide administrative assistance including typing correspondence, managing email communications, and supporting personal or medical receptionist duties as needed. Requirements Proven experience in an office environment with strong clerical and administrative skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Familiarity with QuickBooks or other bookkeeping software is a plus. Excellent organizational skills with the ability to multitask efficiently in a busy setting. Strong computer literacy including data entry, proofreading, and document management. Bilingual abilities are highly desirable to assist diverse client needs. Previous experience as a front desk or medical/dental receptionist is advantageous. Exceptional phone etiquette with experience managing multi-line phone systems. Personal assistant or office management experience preferred to handle calendar management and support daily operations effectively.
