As we continue to grow, we are seeking a dynamic and highly organized Executive Assistant/Sales Assistant to provide administrative and operational support to our team.
Position Overview:
We are looking for a proactive, detail-oriented, and professional Executive Assistant/Sales Assistant to provide high-level administrative support, assist with client management, office management, and business development efforts. This role is essential in ensuring seamless day-to-day operations, enhancing client experiences, and supporting sales activities. The ideal candidate will be a self-starter with exceptional organizational and communication skills, experience in the financial services industry, and the ability to multitask in a fast-paced environment. This position offers the potential for career growth, including obtaining industry licenses such as Series 7 and 63 as needed.
Key Responsibilities:
Provide comprehensive administrative support, including calendar management, scheduling, email correspondence, and document preparation. Act as a primary point of contact for clients, handling inquiries, scheduling meetings, and ensuring a high level of service and responsiveness. Assist in preparing financial reports, presentations, and client documents. Maintain and update client records in CRM systems, ensuring accuracy and compliance with industry regulations. Coordinate marketing and client outreach efforts, including email campaigns, social media updates, and event planning. Conduct research on industry trends, market updates, and investment products to support financial planning initiatives. Assist in processing new business applications, handling paperwork, and ensuring adherence to compliance guidelines. Liaise with internal and external stakeholders, including financial institutions, vendors, and partners, to facilitate smooth operations. Manage office operations, including ordering supplies, maintaining office organization, and ensuring smooth workflow. Oversee and coordinate special projects and provide support in strategic initiatives aimed at business growth and client engagement. Support advisors in daily operations, ensuring alignment and efficiency across the firm. Prepare for potential licensing requirements, including obtaining Series 7 and 63, based on business needs.
Qualifications & Skills:
Bachelor's degree preferred (Business, Finance, or related field a plus). Minimum of 5+ years of experience in an executive assistant, sales assistant, office management, or client service role within financial services, wealth management, or a related industry. Strong understanding of financial products, investment strategies, and regulatory compliance preferred. Excellent verbal and written communication skills with a client-focused mindset. High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM platforms (e.g., Salesforce, Redtail, or similar). Ability to handle sensitive and confidential information with discretion and professionalism. Strong attention to detail, organizational skills, and ability to manage multiple priorities effectively. Proactive problem-solving abilities and a high level of initiative. Ability to work both independently and collaboratively in a team-oriented environment. Willingness to pursue industry licenses (Series 7, 63, or others as required) if needed for career growth.
Benefits & Compensation:
Competitive salary based on experience. Starting salary $50,000 but will go higher based on experience Performance-based bonus opportunities. Professional development and training.
