This role provides essential administrative coordination for agency reporting activities while also assisting with core FTS administrative needs, including travel accommodations, document preparation, and general office support. The ideal candidate is dependable, professional, comfortable managing multiple priorities, and able to handle sensitive information with discretion. Key Responsibilities Support the Environmental Reporting Group with administrative coordination for agency reports, including document formatting, tracking deadlines, assembling supporting materials, and maintaining organized records. Help prepare, route, and maintain correspondence, reports, meeting materials, and other administrative documents. Prepare FedEx and USPS shipments for agency report deliverables, including packaging, labeling, tracking, and maintaining shipment records. Coordinate travel accommodations and logistics for FTS staff, including, transportation arrangements (airline), itineraries, hotel reservations, and related documentation. Maintain electronic and physical filing systems, ensuring records are current, accurate, and easy to retrieve. Assist with general office operations, supply coordination, mail, phone coverage, and other administrative tasks as needed. Communicate professionally with internal staff, agency contacts, vendors, and other external partners. Support special projects and provide flexible administrative assistance across FTS as priorities evolve. Qualifications High school diploma or equivalent required; associate degree or additional administrative training preferred. Two or more years of administrative, office coordination, executive support, or related experience preferred. Strong organization, time-management, and attention-to-detail skills. Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams. Ability to prepare clear, accurate, professional documents and correspondence. Comfortable coordinating travel arrangements. Ability to prioritize competing deadlines and work independently while collaborating effectively with a team. Professional communication skills and sound judgment when handling confidential information. Experience supporting environmental, regulatory, government, consulting, or professional-services work is a plus.
