Executive Personal Assistant / Household Manager Private High-Net-Worth Household | South Bay, Los Angeles | Hybrid A private high-net-worth individual is seeking an exceptional Executive Personal Assistant / Household Manager to provide comprehensive support across a busy personal, family, and household environment. This is a highly hands-on role for someone who is organized, resourceful, discreet, financially conscientious, and comfortable managing an ever-changing list of priorities. The ideal candidate will live in or around the South Bay and be available for local onsite support as needed. This is a hybrid position; regular in-person support will be required, but the role will not require the employee to be onsite every day. The schedule will vary depending on the principal's needs, travel, events, household priorities, and ongoing projects. The principal has a dynamic calendar, two children at home and one in college, multiple residences, frequent travel, household staff, ongoing projects, and an active personal and social schedule. The right person will become a trusted point of contact who keeps the many moving pieces organized, maintains awareness across the household and properties, communicates effectively on the principal's behalf, and proactively handles matters before they become problems. This is not a role where every responsibility will fall neatly within a job description. One day may involve coordinating complex travel, reviewing a project update, or tracking expenses; another may include running an errand, purchasing and wrapping a gift, helping with a party, drafting an email, following up on a refund, or resolving an issue with a vendor. Flexibility, sound judgment, and a genuine willingness to help wherever needed are essential. ResponsibilitiesCalendar, Family & Personal Support Manage and continuously update a complex and frequently changing personal and family calendar Schedule and coordinate appointments, meetings, children's activities, reservations, travel, and other commitments Anticipate upcoming events, deadlines, birthdays, holidays, school obligations, travel, and personal needs, and proactively remind the principal Assist with logistics relating to two children at home and one college-aged child Draft and send emails and correspondence on the principal's behalf Participate in group texts and email threads as needed to keep appointments, projects, questions, and outstanding matters moving forward Follow up persistently and professionally with doctors' offices, schools, vendors, businesses, household staff, and other contacts Run personal and household errands and manage purchases, returns, exchanges, pickups, and deliveries Travel, Events & Household Operations Coordinate domestic and international travel, including flights, accommodations, transportation, itineraries, reservations, and last-minute changes Occasionally travel with the principal to provide personal and logistical support Occasionally travel on behalf of the principal to oversee property needs, events, projects, or other personal matters Manage travel logistics before, during, and after trips, including documentation, special requests, staff coordination, and itinerary changes Assist with the operations and logistics of multiple residences Coordinate with household staff, vendors, contractors, service providers, and property contacts Oversee household communication and help ensure schedules, expectations, and responsibilities remain aligned Assist with parties, dinners, holidays, and other events, including planning, vendors, invitations, purchasing, setup, and day-of coordination Purchase, organize, and wrap gifts and maintain awareness of upcoming gifting occasions Research products, services, vendors, travel, appointments, and other needs as they arise Projects, Budgets & Financial Awareness Maintain working awareness of ongoing household and property projects, including scope, budget, timeline, outstanding decisions, and the principal's overall vision Serve as an additional point of oversight on projects managed by contractors, project managers, construction managers, designers, vendors, and other professionals Track progress and proactively flag delays, unexpected expenses, inconsistencies, or decisions that may be moving outside the principal's expectations Communicate with project teams and vendors to obtain updates, clarify outstanding items, and ensure matters continue moving forward Maintain general awareness of household spending, purchases, invoices, subscriptions, orders, and other expenditures Review charges and transactions for accuracy and flag unfamiliar, duplicate, incorrect, or potentially unauthorized expenses Track refunds, credits, returns, reimbursements, and other outstanding financial matters through completion Maintain awareness of expected orders, deliveries, and significant purchases Help ensure invoices and expenses correspond with approved work, purchases, or services Maintain organized records of relevant budgets, expenses, receipts, purchases, and project information Provide the principal with concise updates when something requires attention, a decision, or follow-up General Maintain strict discretion and confidentiality regarding all personal, family, household, financial, and business matters Troubleshoot unexpected issues and find practical solutions quickly Handle miscellaneous personal and household projects as needed Maintain flexibility to travel occasionally, including internationally, with reasonable notice Maintain availability for onsite support in the South Bay while also working independently and remotely when appropriate The Ideal Candidate The ideal candidate naturally thinks ahead and pays attention. They do not simply complete a task and wait for the next assignment. They notice what is coming, remember what is outstanding, follow up without being asked, and develop enough awareness of the household to recognize when something does not look right. This person does not need to personally manage every construction project, reconcile every account, or make every financial decision. They do need to understand what is happening well enough to ask intelligent questions, notice inconsistencies, follow up on unresolved matters, and ensure the principal's priorities and interests are being represented. They should be equally comfortable handling a sensitive email, coordinating a complicated itinerary, reviewing a project update, communicating with household staff, questioning an unexpected charge, running an errand, and traveling with or on behalf of the principal when needed.
The ideal candidate should be:
Exceptionally organized and detail-oriented Proactive and able to anticipate needs Discreet, trustworthy, and professional Financially conscientious with strong attention to detail Comfortable tracking budgets, expenses, timelines, and multiple concurrent projects An excellent written and verbal communicator Comfortable communicating on behalf of another person Resourceful and confident figuring things out independently Able to prioritize when several matters need attention at once Calm and adaptable when plans or schedules change unexpectedly Comfortable traveling domestically and internationally Comfortable working in a private home and around children Comfortable coordinating with household staff, vendors, contractors, and outside professionals Tech-savvy and comfortable with calendars, email, group messaging, spreadsheets, travel platforms, and online research Comfortable working in a hybrid environment and maintaining strong communication while remote Willing to handle both significant responsibilities and ordinary everyday tasks without viewing either as beneath the position Warm and personable while maintaining appropriate professional boundaries Prior experience supporting a high-net-worth individual, family office, private household, executive, founder, or similarly demanding environment is strongly preferred. Experience traveling with a principal, coordinating multiple residences, managing complex logistics, or tracking projects and expenses is a plus.
