Responsibilities Greet visitors and manage front desk duties with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Perform data entry and maintain organized filing systems to ensure easy document retrieval Assist with bookkeeping tasks using QuickBooks or similar accounting software Support office management activities, including calendar management and scheduling appointments Handle confidential information with discretion and integrity Provide excellent customer service by addressing inquiries and supporting client communication Prepare correspondence, proofread documents, and perform basic clerical duties such as filing and photocopying Coordinate office supplies inventory and place orders as needed to maintain smooth operations Support personal assistant tasks such as calendar management and appointment reminders Qualifications Previous office experience or internships in administrative roles preferred but not required Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent organizational skills with attention to detail and accuracy in data entry Effective phone etiquette and communication skills, including handling multi-line phone systems Bilingual abilities are a plus to assist diverse clients and team members Ability to handle confidential information responsibly and professionally Demonstrated time management skills with the ability to prioritize tasks efficiently Basic bookkeeping knowledge or experience with QuickBooks is advantageous Positive attitude, eagerness to learn, and strong work ethic are essential for success in this role Join us as an Office Assistant (Entry Level) and be part of a vibrant team dedicated to fostering a supportive work environment.
