Mon - Fri (8:00am - 5:00pm) Coastal Employment is currently seeking a professional, organized, and detail-oriented Back Office Clerk for a valued manufacturing client. This position plays a vital role in supporting daily business operations by coordinating administrative functions, inventory management, purchasing, customer support, and executive assistance. The ideal candidate is highly organized, customer-focused, and capable of managing multiple priorities in a fast-paced environment. Position Summary The Back Office Clerk provides administrative and operational support to multiple departments, including production, warehouse, purchasing, customer service, and executive leadership. This role helps ensure efficient day-to-day operations by maintaining inventory records, coordinating purchasing activities, supporting production documentation, and assisting with general office administration. Essential Duties & Responsibilities Monitor inventory levels and maintain minimum stock requirements. Prepare and submit purchase orders while tracking shipments with vendors, freight forwarders, and customs brokers. Receive incoming materials and verify accurate inventory allocation. Investigate inventory discrepancies and coordinate inventory counts when necessary. Set up new customer accounts within the company system. Verify product availability and support order fulfillment activities. Assist Customer Service by preparing and printing shipping and production documents. Maintain accurate filing systems for administrative and operational documentation. Coordinate with international offices regarding order questions and production support. Answer incoming phone calls, greet visitors, and direct inquiries appropriately. Manage executive calendars, appointments, and meeting schedules. Track employee vacation schedules and maintain office calendars. Prepare conference rooms and coordinate refreshments for meetings and visitors. Assist with onboarding activities, including new hire documentation and timesheet support. Distribute personal protective equipment (PPE) to employees. Provide administrative support to the production department. Coordinate purchasing, vendor sourcing, and maintenance scheduling for production equipment. Maintain confidentiality while handling company and employee information. Follow all company policies, procedures, and safety standards. Qualifications Previous administrative, office support, customer service, or purchasing experience preferred. Strong organizational and time management skills. Excellent verbal and written communication skills. Proficiency with Microsoft Office, including Word, Excel, Outlook, and other business applications. Ability to multitask and prioritize responsibilities in a fast-paced environment. Strong attention to detail and accuracy. Professional demeanor with excellent customer service skills. Ability to work independently while collaborating effectively with multiple departments. Experience in a manufacturing or distribution environment is a plus but not required. Physical Requirements Candidates should be able to: Sit, stand, and walk throughout the workday. Clearly communicate with coworkers, customers, vendors, and visitors. Read printed and electronic documents with attention to detail. Maintain focus while managing multiple tasks and priorities. Lift and carry office materials and supplies in accordance with OSHA guidelines. Operate standard office equipment, including computers, printers, scanners, and telephones.
