As the first point of contact for our families, you will play a vital role in keeping our daily operations running smoothly while fostering a welcoming environment. The ideal candidate loves interacting with children and families, possesses excellent organizational skills, and is highly proficient with modern digital tools.
Key ResponsibilitiesAdministrative & Organizational Support Front Desk Excellence:
Greet families, visitors, and children with a warm, welcoming demeanor; answer phone calls and respond to email inquiries promptly.
Records Management:
Maintain accurate, organized, and confidential digital and physical files (e.g., student rosters, enrollment forms, and staff records).
Supply & Scheduling Management:
Keep track of office and classroom inventory; assist with scheduling tours and coordinating special events. Technological & Software Management Child Care Software (Procare): Manage daily attendance tracking, process tuition payments/billing, and update family communication logs within Procare .
Google Workspace:
Efficiently utilize Google Docs, Sheets, Forms, and Gmail to create spreadsheets, organize documents, and manage internal and external communications. Creative Content (Canva): Design engaging flyers, monthly newsletter templates, and social media graphics using Canva to keep families informed and engaged.
General Tech Support:
Confidently operate basic office equipment (computers, printers, scanners) and quickly adapt to new software platforms as needed.l
Qualifications & Skills People Skills:
A genuine love for working around children and a proven ability to build positive relationships with families and staff.
Technical Proficiency:
Strong computer skills with hands-on experience using Google Suite (Docs/Sheets) and Canva . Prior experience with Procare (or similar child care management software) is highly preferred, but we are willing to train the right person.
Exceptional Organization:
Laser-focused attention to detail, strong time-management habits, and the ability to multitask in a vibrant, fast-paced environment.
Communication:
Excellent verbal and written communication skills.
