This front-facing role plays a key part in creating a positive first impression for clients and guests while ensuring smooth and efficient daily operations within the office. As the Office Administrative Assistant , this role will be responsible for managing front desk activities, directing incoming communications, coordinating scheduling needs, and supporting the team with a variety of administrative tasks. The ideal candidate is proactive, professional, and thrives in a dynamic, team-oriented environment. This role will be essential in maintaining a polished and well-organized office atmosphere that reflects the high standards of our firm.
Core Duties:
Greet and assist clients and visitors, serving as a knowledgeable and welcoming point of contact for inquiries and support. Ensure that the overall office appearance is neat, professional and cared for. Coordinate and confirm appointments and meetings, ensuring accurate scheduling and efficient calendar management. Answer and direct incoming calls promptly and professionally, ensuring correct routing to the appropriate team members and providing excellent first-point-of-contact service. Assists with AR/AP and maintains proper records of office bills and payables. Monitor and maintain office supplies inventory, placing orders as needed. Ensure office equipment functions properly and arrange for repairs and maintenance as necessary. Oversee client communications via the texting platform, delivering prompt, clear, and professional responses to maintain strong client engagement.
Administrative Support:
Provide comprehensive administrative support to the leadership team by managing day-to-day operational tasks. Prepare and maintain office records, documents, and reports as needed for the accounting and tax preparation teams. Handle incoming and outgoing mail, packages, and courier services. Assist with preparing and distributing documents, reports, and correspondence. Coordinate office lunches and team activities. Print and distribute payroll checks for applicable clients. Coordinate domestic and international travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries in alignment with leadership preferences and organizational policies. Experience Previous experience in an administrative role or similar position is preferred. Strong organizational skills with the ability to prioritize tasks effectively. Proficient in computer literacy, including familiarity with Microsoft Office Suite and Google Suite applications. Excellent customer service skills with a friendly demeanor towards clients and colleagues. Ability to adapt quickly to new software systems and office technologies.
