Job Description

Job Summary We are seeking a dynamic and organized Administrative Assistant/Office Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff and visitors alike. The ideal candidate will be energetic, detail-oriented, and possess a strong foundation in office management, clerical tasks, and customer service. Bilingual abilities are a plus, enabling effective communication with diverse clients and team members. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with excellent phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Perform data entry and maintain accurate filing systems, both physical and digital, including document proofreading for clarity and accuracy. Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for creating reports, presentations, and correspondence. Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings. Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices. Provide customer support by addressing inquiries professionally via phone or email, ensuring positive interactions. spreadsheet, creat appointments, enrollment of students and office record. Conduct general clerical duties including photocopying, faxing, mailing, and maintaining office supplies inventory. Support personal assistant tasks as needed, including travel arrangements or special project coordination. Qualifications Proven experience in an office environment with strong organizational skills and attention to detail. Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, data entry, and basic bookkeeping software like QuickBooks. Excellent phone etiquette with experience managing multi-line phone systems in a professional setting. Bilingual skills are highly desirable to effectively communicate with diverse populations. Strong typing skills with the ability to proofread documents accurately. Previous clerical or administrative experience is preferred; familiarity with medical or dental receptionist duties is a plus. Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment. Experience in customer service roles that require patience and professionalism. Knowledge of office management procedures including filing systems and calendar management is essential. Pay:
