Job Description

We are looking for an Administrative Assistant to support daily coordination and office operations for a transportation equipment manufacturing environment in Odessa, Texas. This Long-term Contract position is ideal for someone who is highly organized, communicates clearly, and can keep multiple administrative processes moving efficiently. The role will help maintain accurate records, provide timely updates on service activity, and work closely with internal teams and customers to support smooth execution of ongoing work.
Responsibilities:
  • Monitor active jobs and service activity to keep progress details current and ensure stakeholders receive accurate updates.
  • Create, update, and maintain purchase order information within company systems with close attention to accuracy.
  • Serve as a reliable point of contact for customers by responding to questions about order status, service needs, and ongoing work.
  • Manage the full lifecycle of service tickets, including opening requests, documenting changes, and closing completed items promptly.
  • Organize files, records, and supporting documentation so information is easy to retrieve and audit when needed.
  • Provide day-to-day clerical and administrative support such as handling office tasks, data entry, and general coordination.
  • Partner with internal departments to help move work orders through completion within expected timelines.
  • Assist with month-end administrative activities and provide additional support hours when business demands increase.
