This position will help keep the office running efficiently by managing daily administrative tasks, maintaining accurate records, supporting multiple departments, and ensuring the office and shared spaces remain clean, organized, stocked, and professional. The right candidate will take pride in the details, follow through without constant direction, and be willing to assist wherever needed in a fast-paced operating environment. Key Responsibilities Answer and route incoming telephone calls, emails, and general inquiries in a professional manner. Welcome visitors, vendors, customers, employees, and job candidates. Assist with data entry, document preparation, scanning, copying, filing, and recordkeeping. Maintain organized electronic and physical files and protect confidential company and employee information. Support accounting, operations, human resources, and management with administrative tasks and special projects. Assist with purchase orders, invoices, work orders, employee paperwork, and other business documents as requested. Coordinate meetings, interviews, appointments, conference rooms, and internal schedules. Receive, organize, and distribute incoming mail, packages, and deliveries. Track required paperwork and follow up with team members to ensure information is submitted accurately and on time. Monitor office supply levels and reorder items before they run out. Stock and maintain the kitchen and breakroom, including beverages, snacks, utensils, paper products, and other supplies. Regularly inspect and restock office bathrooms with paper products, soap, and other necessary supplies. Keep the kitchen, breakroom, reception area, conference rooms, bathrooms, and shared office spaces tidy, organized, and presentable throughout the day. Coordinate with cleaning personnel and promptly report maintenance, repair, or facility needs. Perform other administrative and office-support duties as assigned. Qualifications High school diploma or equivalent required. Previous office, administrative, reception, or customer-service experience preferred. Strong organizational skills with close attention to detail. Professional written and verbal communication skills. Working knowledge of Microsoft Outlook, Word, and Excel. Ability to learn new software, systems, and administrative processes. Ability to prioritize assignments, manage interruptions, and complete tasks independently. Reliable attendance, punctuality, and consistent follow-through. Ability to handle confidential and sensitive information appropriately. Experience in the oilfield, equipment-rental, service, or industrial sector is helpful but not required.
