Job Description

Job Summary We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily activities and providing exceptional support to staff and clients alike. Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Operate multi-line phone systems, answer inquiries, and direct calls with excellent phone etiquette Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Assist with data entry, proofreading, and document management to ensure accuracy and clarity Support calendar management, scheduling appointments, and coordinating meetings for staff members Handle basic bookkeeping tasks using QuickBooks or similar accounting software Provide customer service support by addressing client questions and resolving issues promptly Manage office supplies inventory, place orders, and ensure the office remains well-stocked and functional Requirements Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively Bilingual abilities are highly preferred to assist a diverse client base Experience with clerical duties such as filing, data entry, proofreading, and calendar management Familiarity with multi-line phone systems and phone etiquette standards Personal assistant or medical/dental receptionist experience is a plus but not required Ability to handle customer support situations with professionalism and patience Demonstrated time management skills to meet deadlines efficiently Join us as an Office Assistant and be part of a team that values energetic engagement, meticulous organization, and outstanding service!
